6. Cancellation and Refund Policy
Prior to an Event, the Organiser contracts bookkeeping, marketing, admin and graphic design services to promote exhibitors at the Event. Time, money and effort is invested in making our Event a success.
What is not immediately obvious is the investment of time, money and effort by the Organiser which happens behind the scenes in the months and weeks before an Event. When an exhibitor cancels, for whatever reason, the Organiser needs to make new arrangements and invest more time and energy. We think it’s only fair that we be reimbursed for some of the costs which have been invested on your behalf. This reimbursement is reflected in our cancellation and refund policy.
6.1 Any cancellation by the Exhibitor must be advised to the Organiser in writing which may include email. The Organiser reserves the right to re-sell the cancelled Exhibitor Space.
6.2 Cancellations are non-refundable. This includes all deposits paid by the Exhibitor to the Organiser.
6.3 However if the Exhibitor cancels a confirmed booking 4 weeks prior to the Event date and the Organiser is capable of reselling that Exhibitor Space, a 20% refund may be administered to the Exhibitor after the date of the Event.
6.4 Cancellation of Exhibitor Space less than 4 weeks prior to the Event, the Exhibitor will not receive a refund or partial refund, regardless of whether the Exhibitor Space can be filled or not.
6.5 If the Exhibitor, at any time, requests a reduction in space, an administrative and processing fee of $100 will be payable by the Exhibitor to the Organiser.
6.6 The Exhibitor acknowledges and agrees that all advertising within event publications or marketing options are non-negotiable and non-refundable if the Exhibitor cancels their Exhibitor Space for the Event.
6.7 The Organiser will not credit or refund Exhibitor fees to the Exhibitor for failing to attend the scheduled Event date for any reason whatsoever.
7. Breaches and Remedies
7.1 The Organiser reserves the right to cancel the Exhibitor’s Space or activity if the Organiser believes there to be a breach by the Exhibitor of its responsibilities under this Agreement. Any cancellation by the Organiser in this regard is deemed a formal cancellation and appropriate fees and charges will apply to the cancellation.
7.2 If the Organiser believes there to be a breach of this Agreement by the Exhibitor, the Organiser will give the Exhibitor reasonable time to remedy such breach, such reasonable time will be advised to the Exhibitor at the time of the notification. If the Organiser is not satisfied by the remedy of the breach by the Exhibitor, then clause 7.1 comes into effect and all penalties as outlined in this Agreement will apply.
7.3 In all such cases of a breach, the Organiser has the right to on-sell the Exhibitor’s Space without notice to the Exhibitor of such decision having been made by the Organiser.
